Privacy Policy
Last updated: May 2025
This Privacy Policy describes how PingRack ("we", "our", or "us") collects, uses, stores, and protects information about you when you use our website at pingrack.com and our hosting services. By using our services, you agree to the collection and use of information in accordance with this policy.
1. Information We Collect
We collect information you provide directly to us when you create an account, place an order, or contact our support team. This includes your name, email address, phone number, billing address, and payment information. Payment card details are processed by our PCI-compliant payment processor and are never stored on our servers.
We also automatically collect certain technical information when you visit our website, including your IP address, browser type, operating system, referring URLs, pages visited, and time spent on those pages. This data is collected through server logs and cookies to help us improve our services.
When you use our VPS or dedicated server services, we may collect data about your server's resource usage (CPU, RAM, bandwidth) for billing and capacity planning purposes. We do not access the contents of your server or the data stored on it.
2. How We Use Information
We use the information we collect to provision and manage your hosting services, process payments, send billing invoices, and communicate important service updates. We also use it to respond to support requests, troubleshoot technical issues, and improve our infrastructure.
With your consent, we may send you promotional emails about new services, offers, and company updates. You can opt out of marketing communications at any time by clicking the unsubscribe link in any email or by contacting us directly.
We use aggregated, anonymised data to analyse usage patterns, understand network performance, and make decisions about infrastructure investment. This data cannot be used to identify individual customers.
3. Data Storage & Security
All customer data is stored in our Tier-3 data centre in Noida, India. We maintain strict physical and logical security controls including biometric access, 24/7 CCTV surveillance, and encrypted data at rest and in transit using industry-standard TLS 1.3 encryption.
We implement access controls ensuring that only authorised personnel can access customer data, and only on a need-to-know basis. All internal access is logged and audited. We conduct regular security assessments and penetration testing to identify and remediate vulnerabilities.
While we take every reasonable precaution to protect your data, no method of transmission over the internet or electronic storage is 100% secure. In the event of a data breach that affects your personal information, we will notify you within 72 hours as required by applicable law.
4. Cookies
Our website uses cookies to enhance your browsing experience. Essential cookies are necessary for the website to function properly — they enable you to log in, maintain your session, and use core features. These cookies cannot be disabled without affecting site functionality.
We also use analytics cookies (via privacy-first tools) to understand how visitors use our website. These help us improve our content and navigation. Analytics data is anonymised and not linked to individual users.
You can control cookies through your browser settings. Note that disabling cookies may affect certain features of our website and customer portal. We do not use cookies for advertising or third-party tracking purposes.
5. Third-Party Services
We work with carefully selected third-party providers to deliver our services. These include payment processors (for billing), email service providers (for transactional emails), and infrastructure monitoring tools. Each third-party provider is contractually bound to protect your data and use it only for the purposes for which it was shared.
We do not sell, trade, or rent your personal information to third parties for marketing purposes. We may share data with law enforcement or government authorities when legally required to do so, or when we believe disclosure is necessary to prevent fraud or protect the rights and safety of our customers.
6. Data Retention
We retain your personal information for as long as your account is active, plus a reasonable period thereafter to comply with legal obligations, resolve disputes, and enforce our agreements. Billing records are retained for 7 years as required by Indian tax law.
When you close your account, we will delete or anonymise your personal data within 90 days, except for information we are legally required to retain. Server data and backups are securely deleted within 30 days of account closure.
7. Your Rights
You have the right to access the personal information we hold about you, correct any inaccurate data, and request deletion of your data subject to our legal obligations. You can also object to or restrict certain types of processing, and request a machine-readable copy of your data.
To exercise any of these rights, please contact us at [email protected]. We will respond to your request within 30 days. We may need to verify your identity before processing certain requests to protect your account security.
